What is HP Build Workspace?
HP Build Workspace is a cloud-based platform that keeps digital drawings and printed plans synchronized between the office and the job site. It provides construction and design teams with tools to help ensure the latest version of a drawing is used, even on printed plans, helping prevent execution errors and project delays.
What Problems does HP Build Workspace solve?
Construction teams lose time and money when outdated drawings are used. HP Build Workspace solves three core problems: teams working from the wrong drawing version, no reliable connection between digital files and paper plans on site, and time-consuming manual tasks like redrawing PDFs into CAD.
Do I need to pay to use HP Build Workspace?
Currently, HP Build Workspace is free to use across all features, except when downloading AI Vectorization results. Once a plan is vectorized, the outcome is displayed on screen at no cost. A charge is only applied if you accept the result and proceed to download the vectorized file, with one token consumed per download. After the first download of a vectorized plan, that vector file is unlocked, and future downloads of the same vector file by any member of the project team won’t consume additional tokens.
Who is HP Build Workspace for?
It's designed for General Contractors, Project Managers, Site Managers, and Architects / Design Teams — typically working on small to mid-sized construction projects. It is especially relevant for companies that still rely on email, SMS, or standard cloud repositories to share drawings and coordinate work.
Is HP Build Workspace replacing existing tools like AutoCAD or BIM?
No. HP Build Workspace is not a design or modeling tool. It sits between the design world (BIM, CAD) and the job site, acting as a synchronized execution layer. It complements existing tools rather than replacing them.
Is my data secure?
Yes. All information is encrypted in transit using TLS 1.3 and AES 128/256, and at rest using AES 256. All databases also leverage built-in full-database encryption technologies, such as Transparent Data Encryption (TDE). HP also performs regular cybersecurity reviews and penetration tests to help identify and address potential security vulnerabilities.
Multi-factor Authentication (MFA) is required for all scoped systems and data access
HP complies with GDPR, CRA, CCPA and AAPI and HP Service and Systems have been certified to recognized Industry Standards such as ISO/IEC 27001:2013, SOC2/3.
Will everyone in my company have access to all documents in HP Build Workspace?
HP Build Workspace has different permission levels. Within a company, people can be invited as Workspace Admin or Project Owner.
Workspace Admins can manage company settings, members and accounting. They can work on all projects and invite external collaborators.
Project owners can work on all projects and invite external collaborators, but they can’t manage company settings.
Can I share my drawings and documents with external companies?
Yes, as a Workspace Admin or Project Owner, you can invite external people to collaborate on a specific project. Collaborators can view all files in that project. They can also create, add or edit only the files they own (i.e. that they have uploaded).
Do I need to pay to use HP AI Vectorization?
Vectorizing a file is completely free. If you’re happy with the result, you can download the file: only then will a token be used. After the first download of a vectorized plan, the vector file is unlocked, and future downloads of the same vector file won’t consume additional tokens.
Why are Tokens needed?
A token is the unit of charge used to unlock a vectorized file for download or sharing. A token is consumed only the first time a vectorized file is downloaded or shared by any authorized member of your organization, and only after the vectorization result has been accepted. Once a file has been unlocked, it becomes available for all subsequent downloads and sharing by other project members with access to the original file — without incurring additional token charges.
How can I get Tokens to use AI Vectorization?
To be able to download or share vectorizations, your organization will have to “refill” tokens upfront by purchasing a Prepaid Package from your HP Preferred Reseller. Those tokens are available for one year.
Alternatively, you can purchase an Annual Access Package , which provides 20 tokens per month for one year. Unused tokens from the previous month expire and 20 new ones are added to the workspace account. Unused tokens do not carry over to the next month.
On the other hand, Annual Access Package is bundled with the purchase of a T2600 Plus Edition and can be activated using the Serial Number of the device*
*Government Units are excluded from this offer.
Do larger files consume more tokens?
No. Each download uses one token, regardless of file size.
Is the outcome of the Vectorization 100% Accurate?
No. The AI delivers significant time savings — up to 80% less drafting time compared to manual redrawing — but results may vary based on drawing complexity and image quality. Users should review and adjust the output as needed. To support this, the original plan is always kept in Layer 0, making it easy to compare and pinpoint the areas that require completion.
Only if you accept the result of the vectorization and proceed to download the vectorized file will one token be consumed.
Is HP Build Workspace using my files to improve the AI engine?
No. We do not use customer files to improve the AI Vectorization engine.
What happens if I don’t use all my tokens?
For prepaid packages, you can use your tokens during the first year after purchase. After the first year, tokens will expire and are no longer available for download. Expired or used tokens cannot be refunded.
For the Annual Access Package, 20 tokens are credited to your organization’s account each month from the claim date for 12 months. Unused tokens expire at the end of each monthly period and cannot be carried forward or refunded.
Can I Scan to Vectorize / Scan to HP Build with any HP MFP?
No. Currently, the Scan to HP Build Workspace and Scan to AI Vectorize workflows are only available on the HP DesignJet T2600 Plus Edition | Build Connected*. Standard HP MFPs do not support this integration.
*Government Units do not include this functionality.
Why do I need the phone to use the Scan to Vectorize / Scan to HP Build workflows?
The phone is used during the authentication phase in both workflows. It is the process in which you temporarily connect the printer with your HP Build Workspace account.
Does the printer need to be connected to internet?
Yes, the printer needs to be connected to the internet. This is required to send files to the cloud. If it is not connected, a message will appear requesting the connection when either workflow is triggered. The phone and printer do not need to be on the same network.
Does the phone need to be connected to the printer?
No. The phone connects to the HP Build Workspace cloud platform, not directly to the printer. Each device can be connected to its own network. As long as both devices are connected to the internet, the workflow will work.
If I have an issue with HP Build Workspace, what kind of support is available?
Support is available directly from the HP Build Workspace platform. A dedicated “Help & Support” section is available, where you can submit your request.
What does the Bundled Annual Access Package include?
The HP Build Workspace 1-year access package provides full platform access and a monthly vectorization allowance.
With this package, 20 tokens are credited to your organization’s account each month from the claim date for 12 months. Unused tokens expire at the end of each monthly period and cannot be carried forward or refunded.
How can I activate my Annual Access Package?
If you have purchased a T2600 MFP Plus Edition, you can activate the package using the serial number of your device directly in HP Build Workspace. Workspace Administrators can activate it through the Scan Drafts and Tokens page.
If you have purchased it through HP Reseller, they will activate and assign the package directly into your account. For further information on the process, talk to your HP Representative / Reseller.
