Easy Select Control Panel simulations - Demos

Blocked Fax List

  1. After touching Blocked Fax List, the control panel displays the screen below. Touch Add Blocked Number.
  2. Touch the Add Blocked Number box.
  3. Use the keyboard to enter the number of an incoming fax you want to delete.
  4. Touch OK.
  5. Touch Save.
  6. Notice now, that two buttons have been added to the Blocked Fax Numbers menu: Remove Blocked Numbers and Clear All Blocked Numbers.

Although not shown in this demonstration, you can touch Remove Blocked Numbers to remove one blocked number at a time or you can touch Clear All Blocked Numbers to remove all blocked numbers at once.

Configuration

  1. Touch the Show button to show a set of configurations pages that show the current device settings.
  2. Touch the OK button. The Embedded Jetdirect configuration page for the device will be displayed.
  3. Touch the OK button again. This will return to the home screen.

Control panel tests

  1. Touch each area of the control panel. Touch LEDs.
  2. LEDs: Touch the buttons to turn the corresponding LEDs on and off. Touch Ready LED.
  3. Touch Ready LED again.
  4. Touch Data LED.
  5. Touch Data LED again.
  6. Touch Attention LED.
  7. Touch Attention LED again.
  8. Touch Sleep LED.
  9. Touch Sleep LED again.
  10. Touch Start Green LED.
  11. Touch Start Green LED again.
  12. Touch Start Amber LED.
  13. Touch Start Amber LED again.
  14. Touch OK to return to the Control Panel tests screen.
  15. Touch Display.
  16. Display: There is no demonstration for this test. On a “live” control panel, you would touch the C button to sequence through the display tests. Click Continue to return to the Control Panel tests screen.
  17. Touch Buttons.
  18. Buttons: There is no demonstration for this test. On a “live” control panel, you would press the control panel buttons to test the functionality of each button. Touch OK to return to the Control Panel tests screen.
  19. Touch Touchscreen.
  20. Touchscreen (1): Touch Continue.
  21. Touchscreen (2): Touch each square on the touchscreen until all squares are filled. On a “live” control panel, you would press the Reset button to end the test.

Set the date and time

  1. Touch Date/Time.
  2. Select the Date Format.
  3. Select the Time Format.
  4. Under Date, touch the Day button and use the keypad to enter the day. Touch OK.
  5. Under Date, touch the Month button and use the keypad to enter the month. Touch OK.
  6. Under Date, touch the Year button and use the keypad to enter the year. Touch OK.
  7. Under Time, touch the Hour button and use the keypad to enter the hour. Touch OK.
  8. Under Time, touch the Minute button and use the keypad to enter the minute. Touch OK.
  9. Touch AM (or PM).
  10. Touch Save when finished.

Email

  1. Touch the open book icon to the right of the To field.
  2. Touch the down arrow next to the All field and select Local.
  3. Touch the + button in the bottom left-hand corner of the screen.
  4. Use the keypad provided to enter a name; then touch the down arrow next to the Name field and select E-mail.
  5. Use the keypad provided to enter an email address; then touch OK.
  6. An Address was stored successfully message appears on the screen. Touch OK.
    • The name and email address you just entered appears in the email address list.
  7. Follow steps 3 through 6 to add additional names and email addresses to the list. Touch OK.
  8. Touch the blank From field to display a keypad. Use the keypad to enter your email address.
    • If the email address entered is being used for the first time on the MFP, an Add to Local address book screen appears asking if you would like to add the address to the address book. Select Yes to add the address to the address book.
  9. Touch the address book.
  10. Touch TECH SUPPORT and touch the arrow to add the e-mail adress to the To list. Touch OK.
  11. Select Subject to display a keypad. Use the keypad to input a subject for the email.
  12. Touch OK to return to the Send E-mail screen.
  13. Touch More Options (down arrow) to display other sending options, such as file type, scan resolution, and color scanning.
  14. Once all desired options are set, touch the Send E-mail button to send the email.

Job Build — Email

  1. Touch Job Build On; then touch OK.
  2. Select additional desired options, such as stapling, image orientation, optimize for text/graphics, and reduce/enlarge options. Touch the Send Fax button
  3. Touch Letter 8.5 x 11” if not already selected.
  4. Load the next set of letter/A4-sized originals face up in the ADF.
  5. Touch the Finish button.

Fax Address Book and Speed Dial

  1. Touch the address book.
  2. Select CUSTOMER SERVICE and add it to the Fax Recipients.
  3. Select TECH SUPPORT and touch Details.
  4. Details displays the full name and fax number of the selected contact. Touch OK.
  5. Add TECH SUPPORT to Fax Recipients.
  6. Select CUSTOMER SERVICE and delete it.
  7. Touch OK.
  8. Select TECH SUPPORT and delete it.
  9. Touch Speed Dials.
  10. Select Speed Dial Name.
  11. Enter a name using the keyboard provided.
  12. Touch the drop-down menu and select Fax Numbers.
  13. Enter a number using the keyboard provided; then touch OK.
  14. Touch OK.
  15. Select TECH SUPPORT.
  16. Touch the Send Fax button to send the fax.

Fax Send Settings — Billing Codes

  1. Touch Custom.
  2. Touch Save.
  3. Touch the Range: (1 - 16) box.
  4. Use the keypad to enter a billing code.
  5. Touch OK.
  6. Touch Save.

Fax Forwarding — PIN

  1. Touch the Enter PIN box.
  2. Use the keypad to enter a PIN number.
  3. Touch OK.
  4. Touch OK.

Fax Forwarding — Change PIN

  1. Touch Change PIN.
  2. Touch the Enter New PIN box.
  3. Use the keypad to enter a PIN number.
  4. Touch OK.
  5. Touch OK.
  6. Touch the Confirm PIN box.
  7. Use the keypad to re-enter the PIN number.
  8. Touch OK.
  9. Touch OK.
  10. The PIN number has been changed.

Fax Forwarding — Enter fax number

  1. Touch Custom.
  2. Touch Save.
  3. Touch Forward to Number.
  4. Touch the Forward to Number box.
  5. Use the keypad to enter the Fax Number of the device you want to forward received faxes to.
  6. Touch OK.
  7. Touch Save.

Job Build — Fax

  1. Touch Job Build On; then touch OK.
  2. Select additional desired options, such as stapling, image orientation, optimize for text/graphics, and reduce/enlarge options. Touch the Send Fax button

Fax Send Settings — Dialing Prefix

  1. Touch Custom.
  2. Touch Save.
  3. Touch Dialing Prefix Number.
  4. Touch the Dialing Prefix Number box.
  5. Use the keyboard to enter a dialing prefix number. Type a Comma to indicate a pause, if needed.
  6. Touch OK.
  7. Touch Save.

IPV4 setting

  1. Touch the CONFIG METHOD button.
  2. Touch BOOTP.
  3. Touch SAVE.
  4. The MANUAL SETTINGS button is no longer displayed in the IPV4 SETTINGS menu.

Virtual keyboard input

  1. Email keyboard
    • Use the e-mail address keyboard to input the Sender, Recipients, and Subject lines.
    • Touch ? to view the help menu.
    • Touch OK to close the help menu.
    • Use the keyboard to enter the e-mail address of the sender.
    • Touch the "eraser" button to clear the entire field.
    • Touch "From:" to drop down the menu.
    • In the drop-down menu touch "To:".
    • Touch Alt to reveal special characters.
    • Touch Shift to reveal more special characters.
    • Touch the "open book" to reveal the address book.
  2. Fax keyboard
    • Use the fax address keyboard to input recipients, numbers and search.
    • Touch ? to view the help menu.
    • Touch the Down arrow to scroll.
    • Touch OK to close the help menu.
    • Use the number keys to enter the Fax Numbers.
    • Touch Enter to advance to the next line.
    • Use the number keys to enter the Fax Numbers.
    • Touch the up arrow to move to the previous line.
    • Touch the right arrow to advance the cursor.
    • Use the Backspace key to delete one character at a time left of the cursor.
    • Use the number keys to enter the Fax Numbers.

Input menus — Keypad input

    1. The virtual keypad is used to enter fax numbers.
    2. Enter numbers with the number keys
    3. Use the Backspace key to delete one character at a time left of the cursor.
    4. Enter numbers with the number keys
    5. The PIN button adds a bracket. Numbers inside the bracket are not printed on the fax. Press PIN again to close the brackets.
    6. The left arrow moves the cursor left without deleting characters.
    7. The right arrow moves the cursor right without deleting characters.
    8. The Pause button inserts a comma, representing a pause in the dialing tones.
    9. Press the "eraser" button to clear the entire field.
    10. Pressing OK or Cancel will close the keypad. OK keeps the number, Cancel discards it.

Network Folder

- After enabling 'Send to Folder' through the EWS and creating a destination folder, Network Folder becomes availible on the home screen.
  1. Touch PUBLIC.
  2. Touch the file name [Untitled].
  3. Use the keypad to enter a file name.
  4. Touch the Start button.

Job build — Network Folder

  1. Touch Job Build On; then touch OK.
  2. Select additional desired options, such as stapling, image orientation, optimize for text/graphics, and reduce/enlarge options. Touch the Send Fax buttonl
  3. Touch Letter 8.5 x 11” if not already selected.
  4. Load the next set of letter/A4-sized originals face up in the ADF.
  5. Touch the Finish button.

Ring Frequency

  1. Touch Ring Frequency.
  2. Touch Custom.
  3. Touch Save.
  4. Touch the Range: (1 - 200) box.
  5. Use the keypad to enter the value for the frequency of tone incoming fax ring tone.
  6. Touch OK.
  7. Touch Save.

Ring Interval

  1. Touch Ring Interval.
  2. Touch Custom.
  3. Touch Save.
  4. Touch the Range: (220 - 600) box.
  5. Use the keypad to enter the value for the interval between rings for incoming faxes.
  6. Touch OK.
  7. Touch Save. The setting is saved.

Send to Workflow

- Say you work in the shipping and receiving division of a warehouse, and your network Administrator has set up a workflow so you can scan and save packing slips and order lists electronically. You have just received a shipment and want to save the packing slip electronically. Follow these steps:
  1. Load the packing slip face down on the scanning glass and touch the Warehouse workflow from the list.
  2. Touch the Deliveries workflow from the list.
  3. Touch the OCR File Name field to display a keyboard.
  4. Use the keys provided to enter a name for the file; then touch OK.
  5. Touch the Send Workflow button to send the workflow.
    • OPTIONAL: Touch More Options to change settings, if desired.
    • The only item under More Options is Original Sides.
    • This is just one example of data that can be captured by users at the control panel.

PIN for Service menu

  1. After touching Service, the control panel displays the screen below. Touch the Service Use Only box.
  2. Enter the PIN number using the keypad.
  3. Touch OK.
  4. Touch OK. The Service menu is displayed.

View Supplies Status

  1. On the Supplies Status screen, touch the Document Feeder Kit row to highlight it; then touch the Details button.
  2. The status of the Document Feeder Kit displays on the screen. Touch OK > OK to return to the home screen.

TCF Extend

  1. Touch TCF Extend.
  2. Touch Custom.
  3. Touch Save.
  4. Touch the Range: (0 - 2550) box.
  5. Use the keypad to enter the TCF Extend value.
  6. Touch OK.
  7. Touch Save.The setting has been saved.

TCF T.30 Delay Timer

  1. Touch TCF T.30 Delay Timer.
  2. Touch Custom.
  3. Touch Save.
  4. Touch the Range: (60 - 255) box.
  5. Use the keypad to enter the TCF T.30 Delay Timer value.
  6. Touch OK.
  7. Touch Save.

Set the wake time

  1. Under Wake Time, touch the day for which you want to set the wake time.
  2. Touch Custom.
  3. Touch Save.
  4. Touch the Range: (1 - 12) box.
  5. Use the keypad to enter the hour to wake.
  6. Touch OK.
  7. Touch Save.
  8. Touch the Range: (1 - 59) box.
  9. Use the keypad to enter the minute to wake.
  10. Touch OK.
  11. Touch Save.
  12. ouch AM (or PM).
  13. Touch Save.
  14. Touch Yes (or No) to apply the wake time to all days.
  15. Touch Save. Repeat these steps to set different wake times for each day.

Easy Select Control Panel simulations - Tasks

E-mail a document

  1. Load an original face up in the ADF.
  2. Touch the E-mail button on the home screen.
  3. Touch the blank From field to display a keypad. Enter your email address.
    • If the email address entered is being used for the first time on the MFP, an Add to Local address book screen appears asking if you would like to add the address to the address book. Select Yes to add the address to the address book.
  4. Touch the down arrow next to the From field and select To to display a keypad. Use the keypad to input a recipient address.
  5. Touch the down arrow next to the To field and select Subject to display a keypad. Use the keypad to input a subject for the email.
  6. Touch OK to return to the Send E-mail screen.
  7. Optional: Touch More Options (down arrow) to display other sending options, such as file type, scan resolution, and color scanning.
  8. Once all desired options are set, touch the Send E-mail button to send the email.

Fax a document

  1. Load an original face up in the ADF.
  2. Touch the Fax button on the home screen.
  3. Touch the blank field under Fax Recipients to display a numerical keypad. Use the keypad to enter a fax number; then touch OK.
  4. Once you input the fax recipient number, you may touch the More Options (down arrow) button to display further options, such as resolution, notification, and number of sides.
  5. When all desired options are set, touch the Send Fax button to send the fax.

Set time, date, and month

  1. Scroll to and touch the Administration button on the home screen.
  2. Touch Time/Scheduling.
  3. Touch Date/Time.
  4. Select the desired Date Format.
  5. Select the desired Time Format.
  6. Touch the date field under the Date heading and use the pop-up keypad to enter the current date; then touch OK.
  7. Touch the month field under the Date heading and use the pop-up keypad to enter the current month; then touch OK.
  8. Touch the year field under the Date heading and use the pop-up keypad to enter the current year; then touch OK.
  9. Touch the hour field under the Time heading and use the pop-up keypad to enter the current hour; then touch OK.
  10. Touch the minute field under the Time heading and use the pop-up keypad to enter the current minute; then touch OK.
  11. Touch the button next to the minute field to select either AM or PM.
  12. Touch Save.

Add addresses to the email address book

  1. Touch the E-mail button on the home screen.
  2. Touch the open book icon to the right of the To field.
  3. Touch the down arrow next to the All field and select Local.
  4. Touch the + button in the bottom left-hand corner of the screen.
  5. Use the keypad provided to enter a name; then touch the down arrow next to the Name field and select E-mail.

Resets — Clear fax activity log

— The Resets submenu under the Administration menu allows you to perform tasks such as clearing the address book, clearing the fax activity log, restoring factory defaults, and resetting supplies. For example, to clear the fax activity log,
  1. Scroll to and touch the Administration button on the home screen.
  2. Scroll to and touch Resets.
  3. Touch Clear Fax Activity Log.
  4. Select Yes; then touch Save.

Set Sleep Delay

  1. Scroll to and touch the Administration button on the home screen.
  2. Touch Time/Scheduling.
  3. Touch Sleep Delay.
  4. Select the desired sleep delay time. Options include:
    • 20 Minutes
    • 30 Minutes
    • 45 Minutes
    • 1 hour (60 Minutes)
    • 90 Minutes
    • 2 Hours
    • 4 Hours
  5. Touch Save.

Fax speed dial setup

  1. Touch the Fax button on the home screen.
  2. Touch the Speed Dial Code field and use the pop-up keypad to input the 2-digit speed dial number you wish to use; then touch OK.
  3. Touch Speed Dials.
  4. Touch the Speed Dial Name field.
  5. Input a name using the keypad provided; then touch OK.
  6. Touch the Fax Numbers field.
  7. Input a number using the keypad provided; then touch OK.
  8. Touch OK.
    • The speed dial name and number appear next to the desired speed dial code button.
    • Repeat these steps to create other speed dials.

Restore factory default settings

  1. Scroll to and touch the Administration button on the home screen.
  2. Scroll to and touch Resets.
  3. Touch Restore Factory Settings.
  4. Touch Restore.

Send to multiple recipients using the address book

  1. Load an original face up in the ADF.
  2. Touch the E-mail button on the home screen.
  3. Touch the From field and use the keypad provided to enter your email address; then touch OK.
    • If the email address entered is being used for the first time on the MFP, an Add to Local address book screen appears asking if you would like to add the address to the address book. Select Yes to add the address to the address book.
  4. Touch the open book icon to the right of the To field.
  5. Touch a name in the email address list; then touch the right-facing arrow to enter the email address into the To list.
    • Repeat this step to move additional email addresses from the email address list to the To list.
  6. When all desired email addresses are in the To field, touch OK.
  7. Touch the Subject field and use the keypad provided to enter a subject for the email; then touch OK.
  8. Optional: Touch More Options to set additional desired email send settings.
  9. When all desired settings are complete, touch the Send E-mail button.

Send a fax to multiple recipients

  1. Touch the Fax button on the home screen.
  2. Touch the Fax Recipients field and use the pop-up keypad to input a fax number; then touch OK.
  3. Touch the down arrow next to the Fax Recipients field to insert the fax number into the send list.
  4. Follow steps 2 and 3 to add additional numbers.
  5. Touch the Send Fax button to send the fax.

Set Wake Time

  1. Scroll to and touch the Administration button on the home screen.
  2. Touch Time/Scheduling.
  3. Touch Wake Time.
  4. Touch the desired day of the week for Wake Time to occur.
  5. Select Custom; then touch the Save button.
  6. Touch the Range field to choose an hour for the Wake Time.
    • Use the pop-up keypad to enter a specific hour; then touch OK.
  7. Touch the Save button.
  8. Touch the Range field to choose the specific minutes for the Wake Time.
    • Use the pop-up keypad to enter the minutes; then touch OK.
  9. Select AM or PM.
    10. Touch the Save button.
  10. On the Apply to All Days screen, select No; then touch the Save button.
    • Select Yes only if you want the Wake Time to occur every day of the week at the specified time.
  11. After touching Save, the selected Wake Time briefly appears on the screen.

Send a fax to multiple recipients (using speed dials)

  1. If you have Speed Dials set, touch the Fax button on the home screen and then simply touch the speed dial buttons of the numbers you wish to include in the send list. They then automatically appear in the list.
  2. Touch More Options to set desired options.
  3. Touch the Send Fax button to send the fax.

Initial Setup — Fax Setup

  1. Scroll to and touch the Administration button on the home screen.
  2. Scroll to and touch Initial Setup.
  3. Touch Fax Setup.
  4. Touch Required Settings.
  5. Touch Location.
  6. Select your country from the list; then touch Save.
  7. Touch Date/Time.
  8. On the Date and Time screen:
    1. Select the desired Date Format.
    2. Touch the day field under the Date heading and use the pop-up keypad to enter the current date; then touch OK.
    3. Touch the month field under the Date heading and select the current month from the list; then touch OK.
    4. Touch the year field under the Date heading and use the pop-up keypad to enter the current year; then touch OK.
    5. Select the desired Time Format.
    6. Touch the hour field under the Time heading and use the pop-up keypad to enter the current hour; then touch OK.
    7. Touch the minute field under the Time heading and use the pop-up keypad to enter the current minute; then touch OK.
    8. Touch the AM/PM button to select AM or PM.
    9. Touch Save.
  9. Touch Fax Header Information.
  10. Touch Phone Number.
  11. Touch the Phone Number field and use the keypad provided to enter your phone number; then touch OK.
  12. Touch Save.
  13. Touch Company Name.
  14. Touch the Company Name field and use the keypad provided to enter your company name; then touch OK.
  15. Touch Save.

Initial Setup — E-mail Setup

  1. Scroll to and touch the Administration button on the home screen.
  2. Scroll to and touch Initial Setup.
  3. Touch E-mail Setup.
  4. Touch Find Send Gateways.
  5. The home screen appears and briefly displays a Found SMTP Gateway message. If this is successful, then the process is complete. However, if the MFP does not initially find an SMTP Gateway, it may be necessary to manually input a gateway. Re-enter the E-mail Setup menu.
  6. Touch SMTP Gateway.
  7. Touch the SMTP Gateway field and use the keypad provided to enter your SMTP Gateway; then touch OK.
  8. Touch Save.
  9. Touch Test Send Gateway.
    • The home screen appears and briefly displays an SMTP Gateway OK message.

Calibrate the scanner

  1. Scroll to and touch the Administration button on the home screen.
  2. Scroll to and touch Troubleshooting.
  3. Touch Calibrate Scanner.
    • Touch “Calibrate” to calibrate the device scanner. Messages on the control panel display will lead you through the calibration process.
  4. Load Tray 1 with plain Letter paper, short edge first; then touch OK.
    • Processing scanner calibration page message appears on the control panel, and a calibration page outputs to the standard output bin.
  5. Retrieve the printed calibration page and load it face up in Tray 1 with the arrow pointing inward; then touch OK.
    • Processing scanner calibration page message appears on the control panel, and the calibration page outputs to the standard output bin.
  6. Make sure there is no paper on the scanning glass; then touch OK.
  7. Load the printed calibration page face up in the ADF, short edge first; then touch OK.
    • Calibrating ADF scanner side one message appears on the control panel, and the calibration page outputs to the standard output bin.
  8. Load the printed calibration page face down in the ADF, short edge first; then touch OK.
    • Calibrating ADF scanner side two message appears on the control panel, and the calibration page outputs to the standard output bin.
  9. Load the printed calibration page face down on the scanner glass; then touch OK.
    • Calibrating scanner glass message appears on the control panel. After a few moments, a Scanner calibration successful message appears on the control panel.

Set up simulations

Remove all shipping locks and packing material

  1. Remove all tape and packing material from the ADF.
  2. Remove the protective film from the control-panel display.
  3. Remove all tape from the keyboard tray.
  4. Open the ADF and remove the packing foam.
  5. Move the scanner lock switch to the unlocked position.

Initial startup

  1. Select the desired Date Format.
  2. Select the desired Time Format.
  3. Touch the date field under the Date heading and use the pop-up keypad to enter the current date; then touch OK.
  4. Touch the month field under the Date heading and use the pop-up keypad to enter the current month; then touch OK.
  5. Touch the year field under the Date heading and use the pop-up keypad to enter the current year; then touch OK.
  6. Touch the hour field under the Time heading and use the pop-up keypad to enter the current hour; then touch OK.
  7. Touch the minute field under the Time heading and use the pop-up keypad to enter the current minute; then touch OK.
  8. Touch the button next to the minute field to select either AM or PM.
  9. Touch Save.

Configuring e-mail gateways

  1. Touch the Administration button on the home screen.
  2. Scroll to and touch Initial Setup.
  3. Touch E-mail Setup.
  4. Touch Find Send Gateways.
  5. Touch the Find button.
    1. The home screen appears and briefly displays a Found SMTP Gateway message. If this is successful, then the process is complete. However, if the MFP does not initially find an SMTP Gateway, it may be necessary to manually input a gateway:
    2. Re-enter the E-mail Setup menu.
    3. Touch SMTP Gateway.
    4. Touch the SMTP Gateway field and use the keypad provided to enter your SMTP Gateway; then touch OK.
    5. Touch Save.

Setting the language from the front panel

  1. Touch the Administration button on the home screen.
  2. Scroll to and touch Device Behavior.
  3. Touch Language.
  4. Select the desired language; then touch Save.

View the configuration information

  1. Because the digital sender cannot print its information pages,they must be viewed by using the digital-sender control panel or by using the embedded Web server (EWS). Touch the Administration button on the home screen.
  2. Touch Information.
  3. Touch Configuration/Status Pages.
  4. Touch Configuration Page.
  5. Touch the Show button to display configuration page information.
  6. The Configuration Page information displays on the screen. Use the right-side scroll bar to view the entire contents of the page. Touch OK to view Embedded Jetdirect Page information.
  7. The Embedded Jetdirect Page information displays on the screen. Use the right-side scroll bar to view the entire contents of the page. Touch OK to return to the home screen.

Digital send simulations

Send to network folder

  1. Load originals face up in the ADF and touch the Network Folder button on the home screen.
  2. On the Send to Network Folder screen, touch the File Name field.
    • The File Name field reflects [Untitled] as the default.
  3. Use the keys provided to enter a name for your file; then touch OK.
  4. The name appears in the File Name field. In the Quick Access Folders list, touch the desired folder where you want to send your file. For this example, we will select the Certificates folder.
    • Notice the Home Folder option in the list. This folder is used for Send to Home Folder, which is only accessible for authenticated users.

Use Secondary E-mail

  1. Load originals face up in the ADF; then scroll to and touch the Secondary E-mail button on the home screen.
  2. The Send E-mail screen appears. Touch the From field to display a keyboard.
    • Note: When DSS controls the device, the From field may contain a default address already added by the administrator. If this is the case, ignore the default. Touch the From field, delete the default address, and input your own address in the From field. If the From field is grayed out, however, then the administrator has decided not to allow the default to be changed.
  3. Use the left arrow key to delete the default address.
  4. Use the keys provided to enter your email address; then touch the down arrow next to the From field.
  5. Select To from the drop-down list.
  6. Use the keys provided to enter a recipient email address; then touch the down arrow next to the To field.
  7. Select Subject from the drop-down list.
  8. Use the keys provided to enter a subject for the email; then touch OK.
  9. If the addresses you entered in the To and From fields have not already been saved to the Local Address Book, the device asks if you want to save the addresses to the address book. Select Yes or No, as desired.
  10. The Send E-mail screen reappears with the From, To, and Subject fields populated. Touch the Send E-Mail button to send the email.
    • OPTIONAL: Touch the More Options button to change settings, if desired.

Send to Workflow

- Say you work in the shipping and receiving division of a warehouse, and your network Administrator has set up a workflow so you can scan and save packing slips and order lists electronically. You have just received a shipment and want to save the packing slip electronically. Follow these steps:
  1. Load the packing slip face down on the scanning glass and touch the Workflow button on the home screen.
  2. The Workflow screen appears. Touch the Warehouse workflow from the list.
  3. Touch the Deliveries workflow from the list.
  4. Touch the OCR File Name field to display a keyboard.
  5. Use the keys provided to enter a name for the file; then touch OK.
  6. Touch the Send Workflow button to send the workflow.
    • OPTIONAL: Touch More Options to change settings, if desired.
      • The only item under More Options is Original Sides.
    • This is just one example of data that can be captured by users at the control panel.

User PIN Authentication using Secondary Email

- Requires a user-specific numeric code for access to, or certain functions of, the device control panel. Unlike Group 1 PIN and Group 2 PIN, the user personal email address and name are available.
  1. Touch the Secondary Email button on the home screen.
  2. A Sign In screen appears requesting a User PIN to continue. Touch the User PIN field to display a keyboard.
  3. Use the keys provided to input the User PIN; then touch OK.
  4. The Sign In screen reappears with the PIN number securely reflected in the field. Touch OK.
  5. The device authenticates the user, and the Send E-mail screen appears.
    • Notice the From field is grayed out with the user name automatically inserted. Depending on the authentication configuration, certain options (such as the From field) may be grayed out and automatically filled.
    • Follow the regular steps to send an email, including inputting recipient addresses, a subject for the email, and additional options (More Options button), if desired.

Group 1 PIN using Fax

- Requires a numeric code for access to, or certain functions of, the device control panel. The numeric code is compared to the first of two PINs stored on the device by the Administrator.
  1. Touch the Fax button on the home screen.
  2. A Sign In screen appears requesting a Group 1 PIN number to continue.
    • Touch the Group 1 PIN field to display a keyboard.
  3. Use the keys provided to input the Group 1 PIN; then touch OK.
  4. The Sign In screen reappears with the PIN number securely reflected in the field. Touch OK.
  5. The device authenticates the user, and the Send Fax screen appears.
    • Follow the regular steps to send a fax.

Group 2 PIN using Send to Workflow

- Requires a numeric code for access to, or certain functions of, the device control panel. The numeric code is compared to the second of two PINs stored on the device by the Administrator.
  1. Touch the Workflow button on the home screen.
  2. A Sign In screen appears requesting a Group 2 PIN number to continue.
    • Touch the Group 2 PIN field to display a keyboard.
  3. Use the keys provided to input the Group 2 PIN; then touch OK.
  4. The Sign In screen reappears with the PIN number securely reflected in the field. Touch OK.
  5. The Workflow screen appears.
    • Follow the normal steps to send the workflow file.

LDAP Authentication using Send to Folder

- Requires users to enter a username and password that are verified by an LDAP server before being allowed access to specified functions of the device control panel.
  1. Touch the Network Folder button on the home screen.
  2. A Sign In screen appears requesting a User Name and Password to continue. Touch the User Name field to display a keyboard.
  3. Use the keys provided to enter your User Name.
  4. Touch the down arrow next to User Name at the left of the screen. Select Password from the drop-down list.
  5. Use the keys provided to enter the password; then touch OK.
  6. The Sign In screen reappears. Touch OK.
  7. The device authenticates the user, and the Send to Network Folder screen appears.
    • Follow the normal steps to scan and send a file to a network folder.

Kerberos Authentication using Send to Folder

- Requires users to enter a username and password that are verified by a Windows server before being allowed access to specified functions of the device control panel.
  1. Touch the Network Folder button on the home screen.
  2. A Sign In screen appears. Touch the User Name field to display a keyboard.
  3. Use the keys provided to enter your User Name.
  4. Touch the down arrow next to the User Name field and select Password from the drop-down list.
  5. Use the keys provided to enter the password.
  6. Touch the down arrow next to the Password field and select Domain from the drop-down list.
  7. Use the keys provided to enter the correct domain; then touch OK.
  8. The Sign In screen reappears with the User Name, Password, and Domain fields populated. Touch OK.
  9. The device authenticates the user and the Send to Network Folder screen appears.
    • Follow the normal steps to scan and send a file to a network folder.

Add addresses to the email address book

  1. Touch the E-mail button on the home screen.
  2. Touch the open book icon to the right of the To field.
  3. Touch the down arrow next to the All field and select Local.
  4. Touch the + button in the bottom left-hand corner of the screen.
  5. Use the keypad provided to enter a name; then touch the down arrow next to the Name field and select E-mail.
  6. Use the keypad provided to enter an email address; then touch OK.
  7. An Address was stored successfully message appears on the screen. Touch OK.
    • The name and email address you just entered appears in the email address list.
  8. Follow steps 4 through 7 to add additional names and email addresses to the list.

Send to multiple recipients using the address book

  1. Load an original face up in the ADF.
  2. Touch the E-mail button on the home screen.
  3. Touch the From field and use the keypad provided to enter your email address; then touch OK.
    • If the email address entered is being used for the first time on the MFP, an Add to Local address book screen appears asking if you would like to add the address to the address book. Select Yes to add the address to the address book.
  4. Touch the open book icon to the right of the To field.
  5. Touch a name in the email address list; then touch the right-facing arrow to enter the email address into the To list.
    • Repeat this step to move additional email addresses from the email address list to the To list.
  6. When all desired email addresses are in the To field, touch OK.
  7. Touch the Subject field and use the keypad provided to enter a subject for the email; then touch OK.
  8. Optional: Touch More Options to set additional desired email send settings.
  9. When all desired settings are complete, touch the Send E-mail button.

Fax simulations

Fax a document

  1. Load originals to be faxed face up in the ADF and touch the Fax button on the home screen.
  2. Touch the Fax Recipients field.
  3. Use the pop-up keypad to input a fax number; then touch OK.
  4. The number appears in the Fax Recipients field. You have several options at this point:
    1. To send to multiple recipients, touch the down arrow next to the Fax Recipients field. The number appears in the list below the arrow. Touch the Fax Recipients field to add additional addresses to the list.
    2. Touch the More Options button to make additional selections before sending the fax.
    3. When all desired selections are complete, touch the Send Fax button.

Fax speed dial setup

  1. Touch the Fax button on the home screen.
  2. Touch the Speed Dial Code field and use the pop-up keypad to input the 2-digit speed dial number you wish to use; then touch OK.
  3. Touch Speed Dials.
  4. Touch the Speed Dial Name field.
  5. Input a name using the keypad provided; then touch OK.
  6. Touch the Fax Numbers field.
  7. Input a number using the keypad provided; then touch OK.
  8. Touch OK.
    • The speed dial name and number appear next to the desired speed dial code button.
    • Repeat these steps to create other speed dials.

Send a fax to multiple recipients

  1. Touch the Fax button on the home screen.
  2. Touch the Fax Recipients field and use the pop-up keypad to input a fax number; then touch OK.
  3. Touch the down arrow next to the Fax Recipients field to insert the fax number into the send list.
  4. Follow steps 2 and 3 to add additional numbers.
  5. Touch the Send Fax button to send the fax.

Send a fax to multiple recipients (using speed dials)

  1. If you have Speed Dials set, touch the Fax button on the home screen and then simply touch the speed dial buttons of the numbers you wish to include in the send list. They then automatically appear in the list.
  2. Touch More Options to set desired options.
  3. Touch the Send Fax button to send the fax.

Embedded Web Server — Import an Address Book -

Using the Embedded Web Server (EWS), you can import address book information by creating a file in a comma-separated value (CSV) format. This file can be created using a spreadsheet program like Microsoft Excel or a text program like Microsoft Notepad.
  1. Create a data file containing a header row with the columns that are required for your data. The following columns can be used:
    1. Note - The address field can also be named “e-mail” or “e-mail address.” The faxnumber field can also be named “business fax” or “home fax.”
    • name (or “first name” and “last name”)
    • address
    • dlname
    • faxnumber
    • speeddial
    • code
    • pin
  2. Under the header row, add rows containing user and address information.
  3. Save the input file.
    • If saving an Excel file, select File > Save As, and then select .CSV (*.csv) in the Save As type drop-down list.
    • If saving as a text file, select File > Save As, and type .csv in place of the .txt file extension.

Embedded Web Server — Import an Address Book - Create an Import File Using Microsoft Outlook

- If you have contacts saved in Microsoft Outlook, you can export them into a .CSV file and then import that file into the device. To create a .CSV file using Microsoft Outlook:
  1. From the Microsoft Outlook File menu, select Import and Export.
  2. In the Import and Export Wizard, choose Export to a file; then select Next.
  3. Select Comma Separated Values (DOS); then selct Next./li>
  4. Input a name for the file, including a .CSV extension.
  5. Select Browse to choose a location on yur computer to save the file; then select Next.
  6. Select Finish to close the window and to export the file.
  7. Open the device EWS.
  8. Select the Digital Sending tab.
  9. Select Import/Export from the left-side list.On the Import/Export screen, select the Browse button in the Option 1: Import Address Book section.
  10. In the Choose file pop-up window, double-click the file name desired.
  11. Back in the EWS, select Import.
    • The import process takes approximately one minute for every 1,000 records, depending on network speed.
    • When the import process completes, a message appears indicating the number of successfully imported records and whether any import errors occurred.

Embedded Web Server — Export an Address Book -

Using the Embedded Web Server (EWS), you can export the
address book or user information that has been saved in the device. This data is exported to a CSV file that contains one header row, followed by a row for each user or address book record.
  1. Open the device EWS.
  2. Select the Digital Sending tab.
  3. Select Import/Export from the left-side list.
  4. On the Import/Export screen, follow the stepsunder the Option 2: Export Address Book section.
    1. Select one or more of the check boxes displayed under Step 1.
    2. Under Step 2, type in a desired name for the export file.
      1. AddressBooks.csv is entered as default.
    3. Select Export to begin the export process
    4. A dialog box appears. Select Save, and then select the location where you want to save the file.

E-mail a Document

  1. Load an original face up in the ADF.
  2. Touch the E-mail button on the home screen.
  3. Touch the blank From field to display a keypad. Enter your email address; then touch OK.
    • If the email address entered is being used for the first time on the MFP, an Add to Local address book screen appears asking if you would like to add the address to the address book. Select Yes to add the address to the address book.
  4. Back on the Send E-mail screen, touch the To field to display a keypad. Use the keys provided to enter a recipient email address; then touch OK.
  5. Back on the Send to E-mail screen, touch the Subject field to display a keypad. Use the keys provided to input a subject for the email; then touch OK.
  6. Touch OK to return to the Send E-mail screen.
  7. Optional: Touch More Options (down arrow) to display other sending options, such as file type, scan resolution, and color scanning.
  8. Once all desired options are set, touch the Send E-mail button to send the email.

Perform Maintenance — The ADF Maintenance Kit

- The device notifies you when it is time to replace the ADF Maintenance Kit by showing a message on the control panel display. You can view the remaining life of the Maintenance Kit at any time by pressing the STATUS button on the control panel or visiting the EWS Supplies Status page. Order Part Number Q5997A when you need to install a new ADF Maintenance Kit.
    The ADF maintenance kit includes the following items:
  1. One pick-up roller assembly.
  2. One separation pad.
  3. One Mylar sheet kit.
  4. An instruction sheet.

    Follow the installation instructions that come with each kit.

Perform Maintenance — After Replacing the Maintenance Kit - Reset Document Feeder Kit Setting

- The User Guide explains to follow the instructions that come with the document feeder kit when replacing the kit. However, after replacing the kit, you must reset the New Document Feeder Kit setting. To reset this setting, perform the following steps:
  1. Touch the Administration button on the home screen.
  2. Scroll to and touch Resets.
  3. Touch Reset Supplies.
  4. Touch New Document Feeder Kit.
  5. Touch Yes; then touch Save.

Calibration target

  1. The HP 9250c Digital Sender does not have printing functionality. To calibrate the scanner, you must download a calibration target page to your desktop from www.hp.com/go/9250c_scanner_cal.
  2. There are two download options to obtain a calibration target: Adobe Acrobat PDF and Microsoft Word.
  3. If you downloaded the PDF version of the target:
    1. Open the target page at your computer.
    2. Select File > Print.
    3. In the printer driver, set the paper size to Legal, specify Tray 1 as the source tray, and make sure Duplex printing is OFF.
      • Setting the paper size to Legal and manually setting the paper in Tray 1 allows you to print off the trailing edge of the paper.
    4. Load the paper short-edge first into Tray 1.
    5. To generate a complete target page, you must print the page twice. After printing the first pass of the target, load the printed page into Tray 1 with the arrow on the page pointing toward the printer.
    6. Print the target page using the same printer driver settings as the first time.
      • You may now use the target page to calibrate the scanner.
  4. If you downloaded the Word version of the target:
    1. Make sure Tray 1 is loaded with paper (short edge first) and that Duplex printing is OFF.
      • It is NOT necessary to change the paper size in the printer driver.
    2. Print the file twice, the second time with the arrow pointing toward the printer.

Cleaning the ADF Delivery System

  1. Open the digital sender scanner lid.
  2. Clean the white, vinyl ADF backing and the calibration strips by wiping them with a clean, damp, lint-free cloth.
    • Use an ammonia-based surface cleaner to dampen the cloth.
  3. Close the scanner lid.

Cleaning the ADF Delivery System — Cleaning the ADF Rollers

- Clean the ADF rollers if you experience misfeeds or if your originals show marks as they exit the ADF.
  1. Open the digital sender scanner lid.
  2. Locate the rollers near the vinyl calibration strips. Wipe the rollers with a clean, water-dampened, lint-free cloth.
  3. Close the scanner lid.
  4. Push the release button to open the ADF cover.
  5. Locate the rollers. Wipe the rollers with a clean, water-dampened, lint-free cloth.
  6. Locate the separation pad. Wipe the pad with a clean, water-dampened, lint-free cloth.
  7. Close the ADF cover.
